Get a Contract

Hear ye, hear ye, pull out your parchment and your pen and have every vendor you are working with on your wedding day sign a contract. Yep, every single one, even your friend DJ Jazzy Snaz.

Yes we think aunt Mildred is reliable and is going to pull through with that wedding cake but wouldn’t it be a good idea to get it in writing? And your friend with that amazing band that already plays weddings, well they should have no problem signing a contract! (And sending you a rider with their requests.)

If a friend is performing a service for you and they don’t already have a contract, you can search online for a sample contract to have them sign or at the very least have them tell you exactly what they are going to provide in writing.

What Exactly is In a Contract?

What is in a contract?  Usually the contract covers you and the vendor and consists of any guidelines or important information. For instance, it may include photo guidelines for your church or whether tables and chairs are included with your venue. A contract may tell you how many hours you have with your photographer or what the payment terms are for your vendors.

They also typically cover you and your vendor in case of weather emergency, cancellation or anything unforeseen. If there happens to be an earthquake on the day of your wedding (God forbid) you might be glad that Force Majeure was in the contract.

Sets Expectations, Legally

The contract will include things that will help you set expectations. Ours lays out exactly what is included with our package so you know from the beginning exactly what you are getting. We can’t come back to you the week before the wedding and tell you that for us to show up to the rehearsal it will be an extra $500 because it clearly states in our contract that our company will be there for the rehearsal.

Some things that might be in your contract are:

  • Wedding date (and maybe time if you know it. We usually don’t that early in the game)
  • Names of the parties involved
  • Retainer, final amount due and payment schedule (this may vary for some like rentals and catering that the amount will change based on your guest count.)
  • Contingency Plans + Substitutions (will your vendor supply a suitable replacement if for some reason they can’t perform the services?)
  • Description of services provided
  • Insurance and any other requirements from you (like security, parking etc.)
  • Contact Information and Signature from both parties

Some contracts are very involved and some are much shorter. Make sure you read through it so you know what you are signing off on.

What About My Friend who Doesn’t Have a Contract?

For friends it is something in writing that says they will perform these services or will help get a suitable replacement in case they can’t show up. (Yes, we have had friends cancel at the last minute because a better “gig” came up.) It might be awkward to ask them, but it will be less awkward than scrambling for a replacement a week before your wedding.

If your professional vendor does not do a contract (and some don’t) at least get everything they are providing in writing and have them sign off on it. This may not be as formal as a contract but you will have their word (in writing) to back up what they have promised.
